we’re looking for a Administrative Assistant

Purpose of the Job:

Responsible for the reception and general administrative duties. To liaise with suppliers and purchase items for the center.

Key responsibility areas:

General duty

  • To attend to walk-in or phone-in enquiries and direct them to the officer-in-charge.
  • To take down messages for the appropriate officer when the latter is absent.
  • To receive guests/visitors/clients and direct them to the appropriate rooms.
  • To update Life Point’s notice board.
  • To liaise with vendors for the repair & maintenance of electrical and telecommunication systems.
  • To replenish, keep stock and issue stationery items and toiletries for the Centre.
  • To prepare, update and photocopy all standard forms for staff use.
  • To receive and dispatch office mails.
  • To prepare monthly progress report on memberships, talks, events etc.
  • To send/collect documents/materials to/from agencies.

Membership Management

  • To maintain membership database as per the Membership Management System.

Logistic support

  • To liaise with volunteers to provide support for the event.
  • To book rooms for talks, workshops and events.
  • To handle registration for talks, workshops and events.
  • To set up rooms for talks, workshops and events.
  • To mark attendance, take temperature, manage safe entry for talk & event participants.
  • To hand out evaluation form after talks and compile the returned evaluation form.
  • To maintain a proper filing systems of all records and other documents.

Payment collection

  • To collect payment and issue receipt to clients.
  • To prepare bank-in slip and the corresponding receipt listing.
  • To deposit cash collection at the bank.
  • To verify transport claims prepared by staff.
  • To perform other related duties as assigned by immediate supervisor.

Other duties

  • To adhere to relevant accounting and administrative procedures as required in carrying out necessary duties.
  • To perform any other duties as assigned by the Manager. For example, Interfaith Forum, Book Project.

Required qualifications and experience:

  • Minimum “O” level education
  • At least 3 years of working experience in admin field or social service sector.
  • Candidates without work experience are welcome.

Required Competencies/Attitudes

  • Proficient in MS Office.
  • Hardworking, organized, willing to learn, meticulous, patient, friendly, good team player.
  • Passion to work with elderly and in community setting.
